Terms of use
Last updated: 18 October 2026
What we promise, what you take on, and what happens when something goes wrong. No small print — if anything here seems unfair to you, say so before you sign.
Who these terms bind
On one side STEPROLE LIMITED, which operates the service. On the other the school that takes out the subscription, together with every account the school creates inside it.
The school is responsible to us for how all of its accounts are used, as it would be for the acts of its own staff.
These terms apply from the moment the school's first account is activated, and alongside them applies the data processing agreement, which forms an integral part of them.
If we have signed a separate written agreement with the school on different terms, that agreement prevails in whatever it governs differently.
What we provide
A school management application in the browser: students and guardians, teachers, classes and rooms, timetable, attendance, grades and progress, homework, announcements, email updates to parents, and fee tracking.
Fees are informational. We do not collect money for the school and we are not a payment provider. The school collects as it collects today. For a payment it has already collected, the school can issue a receipt from the application in its own name, with the details it has entered itself, and give it to the parent printed, by email or by message. The receipt is issued by the school, not by us.
The service is provided over the internet. We install nothing on your computers and we do not deliver a copy of the software.
How you get an account
By invitation only. No one creates an account on their own: the school invites, the person accepts. A school's public enrolment form sends an application to the school, not an account.
You are responsible for your password and for who knows it. If you suspect someone else has reached your account, change it and tell your school.
The school is responsible for whom it invites, in what role, and for removing in good time those who have left.
If a password is lost there is a reset by email. If access to the email is lost too, contact us.
The school's responsibilities for the data
The school decides what data it records and is the controller of that data. We process it on the school's documented instructions.
The school warrants that it has a lawful basis for what it records, that it has informed students, guardians and staff, and that it has obtained the guardian's consent where required.
The school does not record special-category data (health, religious beliefs and the like) in free-text notes fields, and does not ask for it in its own enrolment form questions. Health details go only into the fields of the health record, where it is turned on, and the school makes sure it has a lawful basis for them.
Notes and comments about a student are written in the knowledge that the guardian may ask for a copy of them. They have that right.
The school is responsible for the files that it and its users upload: it must have the right to share them and, where people appear in them, the consent this requires. We may remove a file that is reported to us as infringing the rights of others.
What is not allowed
Recording data about people who have no connection to your school.
Attempting to see another school's data, to bypass the permission checks, or to test the security of the service without our written permission.
Sharing one account between several people, or giving access to third parties outside the school.
Using the service for anything unlawful, to harm someone, or to send messages unrelated to the running of the school.
Copying, decompiling or reselling the software, or using it to build a competing product.
Loading the service with automated requests beyond ordinary use.
Uploading files you have no right to share, such as scanned books without the publisher’s permission.
The trial
The trial is complete and free of charge. It has every feature, so that you can test it with your own data rather than with examples.
At the end of the trial nothing is charged automatically and we do not ask for card details to start it. If you want to continue, you say so and we send an invoice.
If you do not continue, we give you a copy of what you entered and then delete it.
Subscription, price and payment
The subscription is annual and runs for twelve months from the day of activation — it is not tied to the school year.
The price depends on the number of active students the plan holds. Every feature exists in every plan.
Prices exclude VAT, which is added to the invoice at the applicable rate. Payment is made outside the application, by invoice and bank transfer. We do not accept cards inside the platform.
If you exceed your plan's student limit, the student is still admitted: there is headroom so that you are not left facing a parent with a screen that says no. We see it and contact you to settle it.
If you change plan mid-term, you pay the difference only for the months remaining and the renewal date does not move.
Prices may change for the next renewal. We tell you at least one month in advance, and if the new price does not suit you, you need not continue.
If an invoice goes unpaid
We remind you first. Nothing closes the next day.
If the delay continues, we restrict the entry of new data. You continue to see and download everything that is already there.
A student's educational history is not deleted because a payment was late. That does not change.
Availability and maintenance
We do everything we can to keep the service available, but we do not promise it will never go down and we do not give a guaranteed availability percentage.
Planned interruptions happen outside working hours where possible, and for major ones we tell you in advance.
We are not liable for an interruption outside our control: a provider failure, a fault in your own network or equipment, or a power cut.
Support
We answer questions and fault reports by email, on working days.
Serious problems — the service is down, data is not showing — come before everything else.
Support is included in the subscription. We do not charge per question.
Your data is yours
We acquire no rights over the data you enter. It remains yours, and we process it only to give you the service.
You can take a copy of it whenever you want, in a readable format.
We do not use it to train models, we do not analyse it for our own purposes and we do not show it to any other customer.
We may use aggregated and fully anonymous usage figures — how often a screen is used — to improve the product. None of it allows a school or a person to be identified.
What belongs to us
The software, the design, the texts and the mark of the service belong to us and remain ours.
We grant you a right to use it for as long as your subscription lasts: non-exclusive, non-transferable, for the needs of your school.
If you suggest an improvement and we build it, the implementation belongs to us. You lose nothing by this — it simply does not create joint ownership of the product.
What we warrant and what we do not
We warrant that we will provide the service with professional care and in accordance with what is described here and in the data processing agreement.
We do not warrant that the service will be free of faults, nor that it will fit a particular need you have not told us about.
The service does not replace a legal, tax or accounting adviser. The figures and calculations it displays are a tool, and responsibility for what you file officially remains yours.
Liability — and its limits
We are liable for loss we caused through our own fault, subject to the limits that follow.
The total amount for which we are liable to a school, for all claims within any twelve months, does not exceed the amount the school paid us for the twelve months preceding the event.
We are not liable for lost profits, lost customers or reputation, nor for indirect or consequential loss.
These limits do not apply — and we will not invoke them — in cases of wilful misconduct or gross negligence on our part, personal injury, or wherever the law does not permit liability to be limited.
These limits do not touch the rights of data subjects nor the responsibilities the Regulation allocates between controller and processor. Nothing here limits what a parent or a student may claim.
The reason this section exists is that the price of the service was calculated with these limits in it. Without them, it would be a different price.
Indemnity
If a third party turns against us because the school recorded data without a lawful basis, or used the service in breach of these terms, the school bears the cost that falls on us.
Equally, if someone turns against the school because we breached our obligations, we bear that cost, within the limits of the previous section.
In every case, whoever receives the claim tells the other immediately and does not settle at the other's expense without their agreement.
Force majeure
Neither side is liable for delay or failure caused by events beyond its control: natural disaster, war, a general failure of the internet or the power supply, or a state measure.
If such an event lasts more than one month, either side may end the relationship without penalty.
Changes to the service and to these terms
The service evolves: we add features and improve existing ones. If we remove something material that you use, we tell you in advance.
If we materially change these terms, we tell you by email at least one month before they take effect.
If you do not agree with the change, you may terminate before it takes effect and receive back the proportionate part of any subscription you have prepaid.
Continuing to use the service after the effective date means you accept the new terms.
Ending the agreement, and what follows
You may stop at the end of your subscription, without explaining why. It is enough to tell us before renewal.
We may terminate if these terms are seriously breached and the breach is not cured within a reasonable period after we notify you. For a breach that puts other people's data at risk, we may suspend immediately and explain immediately afterwards.
After termination you have a transition period to take a copy of your data. After that we delete it permanently, as the data processing agreement provides.
If we terminate without fault on your side, we refund the proportionate part of any subscription you have prepaid.
Miscellaneous, but useful
If a term is held invalid, the rest remain in force and the invalid one is replaced by the nearest valid equivalent.
You may not transfer this agreement without our agreement. We may, if our corporate structure changes, on notice to you and without your terms changing.
The fact that we did not exercise a right once does not mean we have lost it.
These terms, together with the data processing agreement and the offer you accepted, are our entire agreement and replace anything said orally beforehand.
Law and disputes
Cypriot law applies and the courts of Cyprus have jurisdiction.
If you are a consumer, nothing here deprives you of the protection mandatorily given to you by the law of the country where you live.
If a dispute arises, we would rather pick up the phone first. Write to info@level-up-class.com and we will answer.
If anything here raises a question, write to us at info@level-up-class.com. We answer.
